Administrative Assistant resume example

This is the title most likely to be written as a duty list, and the one where a duty list costs the most. Answered phones, filed documents, ordered supplies, scheduled meetings: a reviewer reading forty of these cannot tell the difference between any of them, and defaults to the least experienced reading.
The fix is scope and volume. How many people you supported, what you owned outright rather than assisted with, what you spent, and what you fixed. Administrative work is full of small systems that were broken until someone rebuilt them, and that is the most persuasive material available.

The screen
What a administrative assistant resume is actually judged on
How many people, at what level
A department of 40 or two managers. This calibrates the role faster than the title does.
What you owned
Vendor relationships, a budget, onboarding, facilities, records. Ownership beats assistance every time.
Volume
Calls, invoices, bookings, records processed. Administrative throughput is real and countable.
Software, named
Microsoft 365 or Google Workspace, plus the specific systems: Concur, SAP, Salesforce, a CRM or ticketing tool.
Bullets
5 bullets that would survive the screen
Copy the shape, not the words. Each one leads with the result, then names the mechanism, and carries the vocabulary of the field without listing it.
Supported a department of 42 across three managers, handling roughly 90 calls and 60 emails a day on a shared inbox with same-day response.
Owned office vendor relationships and a €95K annual budget, renegotiating cleaning and stationery contracts for a 16% saving.
Rebuilt onboarding for new starters (equipment, accounts, induction schedule) so first-day readiness went from about half to every starter.
Processed 300 to 400 invoices a month into SAP with a coding error rate under 1%, and chased approvals to keep payment runs on schedule.
Digitised seven years of paper personnel records into a searchable system, cutting document retrieval from hours to seconds.
The rewrite that matters most in this role
Performed general administrative duties including answering phones, filing, scheduling meetings and ordering office supplies.
Supported a department of 42 and owned a €95K office budget, renegotiating two contracts for a 16% saving.
Why it works: The weak version is interchangeable with every other application for the role. The rewrite gives the size of the population you served and a budget you controlled with a result: evidence of trust rather than of tasks.
Skills
Skills worth listing as a administrative assistant
Only what you would be comfortable being interviewed on. A long list dilutes every real match.
Technical & role-specific
Worth proving, not claiming
These belong inside a bullet that demonstrates them, not in a list. A line that says “communication” is worth nothing; a bullet showing you ran the workshop is worth a lot.
Keywords
What the tracking system is indexing
These are the terms a requisition for this title typically matches on. Use the ones that are true of you, inside the sentences where you did the work.
Paste the actual posting into the builder and you get this list generated from that requisition instead of the general case, including which terms you are already carrying and which bullet is the right home for the rest.

Errors specific to administrative assistant resumes
Not the generic advice. These are the ones that cost people interviews in this particular field.
Duty lists with no scale
Add the number to every duty worth keeping. Supporting 4 people and 40 are different jobs.
"Assisted with" everywhere
It is the weakest opener available and the scorer flags it. Say what you ran.
Software as a generic claim
"Proficient in Microsoft Office" says nothing. Pivot tables, mail merge, a tracker you built: those say something.
No fixes described
Every admin has straightened out a broken process. That is the story, and it is usually missing.
Questions
Administrative Assistant resume questions
How do I stand out with no obvious metrics?
Count things: people supported, invoices, bookings, records, calls. Then name one process you improved and what it saved in time.
Should I aim for executive assistant roles?
If you have supported senior leaders or run board logistics, yes. Apply as an EA and lead with those bullets, since the bands differ.
Is a two-page resume too long?
For most administrative roles, yes. One well-quantified page outperforms two pages of duties.
