Bookkeeper resume example
Also indexed as: full-charge bookkeeper · accounting clerk · accounts assistant
Bookkeeping is hired on trust and tidiness, and both can be evidenced. How many accounts you reconcile, how many transactions a month, how quickly you close, whether the books have ever been through an audit or a review without adjustment: these are the things a business owner or controller cares about, and they are almost never on the page.
Software is the other hard filter. QuickBooks Online, Xero, Sage, NetSuite and the payroll platform you run appear verbatim in postings, because migrating a bookkeeper between systems costs real time. Name them, and say which version or edition where it matters.

The screen
What a bookkeeper resume is actually judged on
Scope: full-charge or clerk
Whether you own the ledger through to close and reporting, or process within it. This defines the band.
Volume and entity count
Transactions a month, bank accounts reconciled, number of entities or clients handled.
Close timeliness and cleanliness
Days to close, reconciliation backlog cleared, audit or review adjustments.
Payroll and compliance
Payroll run size and platform, sales tax or VAT filings, 1099 or contractor handling.
Bullets

Copy the shape, not the words. Each one leads with the result, then names the mechanism, and carries the vocabulary of the field without listing it.
Owned the full cycle for three entities, roughly 1,400 transactions a month, and closed the books by day four every month for two years.
Cleared an eleven-month bank reconciliation backlog across nine accounts and put a weekly cadence in place that has held since.
Ran biweekly payroll for 62 staff in Gusto with no late filings and no penalty notices across three years.
Rebuilt the chart of accounts before the company's first review engagement; the accountants proposed no adjusting entries.
Migrated the books from desktop Sage to Xero with full history, and cut monthly bookkeeping hours from 46 to 28 through bank rules and receipt capture.
The rewrite that matters most in this role
Responsible for accounts payable, accounts receivable, bank reconciliations and general data entry in QuickBooks.
Owned the full cycle for three entities, about 1,400 transactions a month, and closed by day four every month for two years.
Why it works: The weak version lists the functions of bookkeeping. The rewrite establishes ownership, scale and a reliability record, which is what someone handing over their books is actually buying.
Skills
Skills worth listing as a bookkeeper
Only what you would be comfortable being interviewed on. A long list dilutes every real match.
Technical & role-specific
Worth proving, not claiming
These belong inside a bullet that demonstrates them, not in a list. A line that says “communication” is worth nothing; a bullet showing you ran the workshop is worth a lot.
Keywords
What the tracking system is indexing
These are the terms a requisition for this title typically matches on. Use the ones that are true of you, inside the sentences where you did the work.
Paste the actual posting into the builder and you get this list generated from that requisition instead of the general case, including which terms you are already carrying and which bullet is the right home for the rest.
How keyword targeting worksMistakes
Errors specific to bookkeeper resumes
Not the generic advice. These are the ones that cost people interviews in this particular field.
Not saying whether you are full-charge
It is the difference between two pay bands. Say it in the first line if it is true.
No volume or entity count
One small company and three mid-sized entities are different jobs. Give the numbers.
Software listed without depth
"QuickBooks" alone is weak. Say what you did in it: migrations, bank rules, class tracking, multi-currency.
Missing the trust signals
Clean audits, no penalty notices and on-time filings are exactly the reassurance the hirer wants.
Questions
Bookkeeper resume questions
I work with several small clients rather than one employer. How do I format that?
One heading for your practice with the years, then bullets describing the portfolio: how many clients, industries, and the volume across them.
Is certification worth it?
QuickBooks ProAdvisor or Xero certification is cheap, appears in postings, and signals current knowledge. AAT or equivalent helps in the UK.
Bookkeeper or accountant?
Apply as what you are. Claiming accountant without the qualification or the analytical bullets to back it invites a short interview.
